How far in advance should we book conference AV production?
For larger conferences and awards ceremonies we recommend booking 3–6 months ahead to secure preferred crew and equipment. We regularly turn around smaller events in 2–4 weeks and can move faster when needed — get in touch and we'll be honest about timelines.
Do you provide a show caller and technical director?
We can provide both if you want them, though they are not automatically included on every booking. For anything with a running order, presenter cues and several moving parts we will recommend a show caller and/or technical director and supply them as part of the crew. On the day they manage the running order, cues, video playback, lighting changes and audio mix as one coordinated team.
Can you stream our conference or awards ceremony online?
Absolutely. Live streaming is a core part of our hybrid event offer — multi-camera, broadcast-quality, with on-site presenter feed and Q&A integration. We'll spec the right platform (YouTube, Vimeo, custom RTMP, Teams, Zoom Webinar) based on your audience.
Which UK venues do you regularly work at?
We deliver conferences and awards at venues across Birmingham and the UK, including the NEC, ICC Birmingham, Birmingham Hippodrome, Utilita Arena, Hilton venues, ExCeL London and most major hotel and arena spaces. We hold site-specific risk assessments for many.
Do you handle stage design, set build and graphics as well as AV?
Yes — we offer end-to-end production including bespoke stage and set design, branded graphics packages, lectern and presenter areas, and full lighting design. One supplier, one point of contact, fewer logistics for your team.
What does a typical conference AV quote include?
Quotes are itemised: audio (PA, mics, comms), lighting (stage wash, key, accents), video (LED or projection, cameras, vision mix, content playback), staging and set, crew time (with a show caller where the event needs one), plus logistics. No hidden fees — what you see is what you pay.
